1. WHO CAN USE VOICENOTEPRO

VoiceNotePro is a restricted-access application. There is no public sign-up or self-registration. Access is granted exclusively to authorized users whose credentials are provided by their organization or administrator.

If you have not been provided login credentials by an authorized administrator, you cannot use this app. We do not collect information from unauthorized users.

By using VoiceNotePro, you confirm that you are an authorized user accessing the app with legitimately issued credentials.

We collect only the information necessary to provide the app's core functionality.

Account Credentials

Your email address and encrypted password or OTP, used to authenticate and authorize your access.

Audio Recordings

Voice recordings you create inside the app, stored to enable sync and multi-device access.

Recording Metadata

File name, duration, and creation date used to organize and display your recordings.

Device Information

Device model, operating system version, and app version, used to ensure compatibility and troubleshoot issues.

Network Status

Internet connectivity state (online or offline), used to manage offline saving and automatic sync.

We do not collect location data, contacts, browsing history, or any information beyond what is listed above.

3. HOW WE USE YOUR INFORMATION

Information collected is used solely to operate and improve VoiceNotePro. Specifically:

- To authenticate your login and verify you are an authorized user

- To store, sync, and retrieve your voice recordings across your authorized devices

- To enable offline recording and queue recordings for upload when connectivity is restored

- To allow you to play back, edit, and rename your recordings

- To diagnose technical issues and ensure app stability

We do not use your data for advertising, profiling, marketing, or any purpose unrelated to the app's functionality.

4. DATA STORAGE AND SECURITY

Your recordings and account data are stored on a secured server. We apply appropriate technical and organizational measures to protect your data against unauthorized access, alteration, or loss.

- All data transmitted between the app and our server is encrypted in transit

- Access to stored recordings is restricted to the authenticated account holder only

- Local recordings stored on your device are kept in the app's private directory, inaccessible to other apps

While we take reasonable steps to protect your data, no system is completely immune to risk. We encourage you to keep your login credentials confidential and to report any suspected unauthorized access immediately.

5. AUDIO RECORDINGS

Voice recordings created in VoiceNotePro are your content. We store them solely to provide the sync and multi-device access features of the app.

- Recordings are not listened to, analyzed, or processed by us for any purpose other than storage and delivery to your account

- Recordings are not shared with third parties

- Recordings are not used to train machine learning or AI models

- You can delete recordings from within the app at any time

VoiceNotePro requires microphone access to record audio. This permission is used exclusively for in-app voice recording. We do not access the microphone in the background or at any time other than during an active recording session started by you.

6. OFFLINE DATA AND SYNC

When your device has no internet connection, VoiceNotePro saves recordings locally in your device's private app storage. This data does not leave your device until a connection is available.

When connectivity is restored, the app automatically uploads pending recordings to your account on the server. Upload progress is shown in the app. No recording is deleted from your device until it has been confirmed as successfully uploaded.

7. DATA SHARING AND THIRD PARTIES

We do not sell, rent, or trade your personal data or recordings with any third party.

We may share limited data only in the following circumstances:

Service Providers

Infrastructure or hosting providers that process data on our behalf. These providers are bound by confidentiality obligations and may not use your data for any other purpose.

If necessary to protect the rights, property, or safety of VoiceNotePro, its users, or others.

8. DATA RETENTION

We retain your account data and recordings for as long as your account remains active. If your account is deactivated or access is revoked by your administrator

Recordings you delete from within the app are removed from the server promptly. Local copies on your device are deleted immediately upon your action within the app.

As a user of VoiceNotePro, you have the following rights regarding your data:

Access: Request a copy of the data associated with your account.

Correction: Request correction of inaccurate account information.

Deletion: Request deletion of your recordings or account data.

Portability: Request your recordings in a downloadable format.

10. DEVICE PERMISSIONS

VoiceNotePro requests the following device permission:

Microphone

Used to capture audio for voice recordings. This permission is active only during a recording session that you initiate. The microphone is never accessed in the background.

No other device permissions such as camera, location, or contacts are requested or used by VoiceNotePro.

11. CHILDREN'S PRIVACY

VoiceNotePro is not intended for use by children under the age of 13. We do not knowingly collect personal information from children. Access is restricted to authorized users only, as determined by their organization or administrator.

12. CHANGES TO THIS POLICY

We may update this Privacy Policy from time to time. When we do, we will revise the Last Updated date at the top of this page. If changes are significant, we will notify authorized users through the app or via email.

Continued use of VoiceNotePro after changes are posted constitutes your acceptance of the updated policy.
